Digital Operations Coordinator Trainee

The Centre for Indigenous Innovation and Technology (CIIT) invites applications for the position of Digital Operations Coordinator Trainee as part of the Miziwe Biik Aboriginal Employment & Training, Targeted Wage Subsidy Program.

Job Summary / Overview

The Digital Operations Coordinator will play a key role in supporting the organization’s essential business functions while helping to implement digital tools and technologies to optimize those functions. The position focuses on two primary areas: Enterprise Support, which covers the core operational tasks, and Digital Integration, which looks at improving these processes through technology once they are fully developed.

Mission CIIT was created in response to the underrepresentation of Indigenous peoples in the technology and innovation sectors in Canada. Our Mission is to provide programming that provides excellence in technology training, increases Indigenous representation in the tech industry in Canada, and promotes problem solving using technology with an Indigenous lens.

Why This Role?

As a Digital Operations Coordinator, you will support our mission to increase Indigenous representation in tech by exploring methods of decolonization and Indigenization within business operations. For example, embedding principles of relationality into organizational processes, ensuring that our digital infrastructure is aligned with Indigenous values. In this role, you will explore the following:

  • Digital Process Optimization: Engage with manual processes to understand where the organization can embed Indigenous methodologies and frameworks in modern technology solutions.
  • Data Management and Security: Gain experience in managing organizational data, ensuring that all practices align with Indigenous data sovereignty principles and uphold community rights over data ownership and use.
  • IT and Business Integration: Develop an understanding of how business functions integrate with digital technologies and support the organizations digital transformation journey.
  • Systems Thinking: Engage with a holistic understanding of an organization and how the interconnected nature of all the business functions and its operations contribute to long-term, sustainable growth.

Duties and Responsibilities

  1. Enterprise Support:

You will provide assistance across several core business areas, ensuring smooth daily operations:

    • Finance:

Support finance-related tasks such as invoicing, tracking budgets, and processing payments.

  • Assist in maintaining financial records using software like QuickBooks and ensure accurate data entry and reporting.
  • HR:
  • Help manage employee/volunteer onboarding, maintain personnel records, and assist with routine HR tasks.
  • Coordinate recruitment processes, ensure compliance with internal policies, and track staff time and attendance records.
  • IT & Data Management:
  • Manage the organization’s data storage and file organization, ensuring that proper digital file management practices are followed.
  • Provide basic IT support to staff by troubleshooting minor technical issues and coordinating with external IT support as needed.
  • Administration:
  • Support administrative functions such as scheduling, handling internal communications, and managing office supplies.
  • Assist in organizing meetings, events, and other day-to-day administrative tasks that contribute to the smooth functioning of the organization.
  1. Digital Integration:

Once core processes are in place, you will assist in identifying and implementing digital solutions to optimize efficiency and streamline operations:

    • Process Assessment:
      • Review manual processes within finance, HR, data management, and administration to identify areas that could benefit from digital solutions.
    • Technology Implementation:
      • Help select and implement digital tools to streamline and automate manual processes (e.g., integrating accounting systems, using cloud-based HR platforms, or adopting project management tools).
    • Optimization & Training:
      • Assist in developing guidelines and workflows for staff to transition to digital systems, providing training and support to ensure proper adoption of new tools and technologies.
      • Monitor the effectiveness of implemented digital solutions and recommend improvements or adjustments to ensure continued optimization.

Education, Skills, and Competencies:

    • High school degree or equivalent and a minimum of 1 year or more of job-related experience. Postsecondary degree or diploma preferred.
    • Excellent written and verbal communication skills, including speaking, writing and active listening.

  • Excellent interpersonal skills and a collaborative working style.
  • Relevant work experience on Indigenous-focused programming and projects will be considered a strong asset.
  • Knowledge of the non-profit sector is an advantage.
  • Strong computer knowledge including the following programs/applications: Microsoft, Outlook, Word, PowerPoint, Excel and Adobe Acrobat.
  • Ability to utilize media tools & applications including, but not limited to social media channels.
  • Professionalism, good judgment, discretion, tact and the ability to engage with leaders within the academic, non-profit, business, charitable, and government.
  • Strong organizational skills and demonstrated capacity to develop and implement practical strategies, work plans, and solutions to identified issues and problems and the ability to prioritize effectively.
  • Proven ability to assimilate information gathered through research and other sources.
  • Developed critical thinking skills, including the capacity to identify and appropriately assess and order competing interests and priorities.
  • Ability to work independently and in a distributed work environment.

Eligibility Requirements

    • Potential candidates must be First Nations, Inuit or Métis and reside within the Greater Toronto Area (GTA).
    • Must be registered or eligible to register with Miziwe Biik Aboriginal Employment and Training.
