The Administrative Clerk is responsible for conducting and completing registration for clients prior to seeing an Employment Advisors, coordinating workshops and assisting in other administrative tasks.
Responsibilities
Assist clients to complete filling out Employment Ontario and Miziwe Biik client registration forms (in person, and online)
Obtain all necessary documents such as resume, cover letter, proof of Indigenous ancestry and other necessary documents
Coordinate in scheduling appointment with Employment Advisors
Create and maintain accurate, up-to-date client files according to Employment Ontario guidelines
Ensure timely, accurate case management files are entered in the Employment Ontario Case Management System (EOS CAMS)
Prepare client files for all new registered clients
Provide administration support services to the Employment Services Department and other departments as required
Prepare funding requests for the Employment Advisors such as start-up, reimbursement, and purchase of training to the projects department
Provide coordination of job training workshops, including Food Handers, First Aid & CPR, Mental Health First Aid, and WHMIS
Take minutes during the meetings, at the Employment Services Department and at the Annual General Meeting
Provide reception relief as required
Qualifications
Minimum of Community College certificate related to office administration
At least 2 years of experience providing administrative support to professional staff
Good knowledge of the GTA Indigenous community and the employment and training needs and aspirations
Excellent computer skills and knowledge of software applications including word processing, database management and Internet technologies
Empathetic and compassionate nature
