Purpose

The Administrative Clerk is responsible for conducting and completing registration for clients prior to seeing an Employment Advisors, coordinating workshops and assisting in other administrative tasks.

Responsibilities

  • Assist clients to complete filling out Employment Ontario and Miziwe Biik client registration forms (in person, and online)
  • Obtain all necessary documents such as resume, cover letter, proof of Indigenous ancestry and other necessary documents   
  • Coordinate in scheduling appointment with Employment Advisors
  • Create and maintain accurate, up-to-date client files according to Employment Ontario guidelines
  • Ensure timely, accurate case management files are entered in the Employment Ontario Case Management System (EOS CAMS) 
  • Prepare client files for all new registered clients
  • Provide administration support services to the Employment Services Department and other departments as required
  • Prepare funding requests for the Employment Advisors such as start-up, reimbursement, and purchase of training to the projects department
  • Provide coordination of job training workshops, including Food Handers, First Aid & CPR, Mental Health First Aid, and WHMIS
  • Take minutes during the meetings, at the Employment Services Department and at the Annual General Meeting
  • Provide reception relief as required

Qualifications

  • Minimum of Community College certificate related to office administration
  • At least 2 years of experience providing administrative support to professional staff
  • Good knowledge of the GTA Indigenous community and the employment and training needs and aspirations
  • Excellent computer skills and knowledge of software applications including word processing, database management and Internet technologies
  • Empathetic and compassionate nature
  • First Nations, Métis or Inuit background
