The Native Canadian Centre of Toronto (NCCT) is a non-profit, charitable organization located

in the heart of downtown Toronto. The NCCT offers a wide range of Indigenous programs and

services based on Indigenous cultural traditions and teachings.

Job Title: Administrative Receptionist

Employment Term: Full-Time, One-Year Contract, 40 Hours (M-F)

Department: Executive

Direct Report: Human Resources

Program Overview

The Receptionist is often the first point of contact for community members, Elders, visitors,

partners, and staff. The Receptionist plays a key role in creating a welcoming, respectful,

culturally safe, and trauma-informed environment while supporting the daily operations of the

organization. This position requires the ability to interact professionally and compassionately

with individuals from diverse backgrounds, including those who may be experiencing mental

health challenges, substance use issues, trauma, homelessness, crisis situations, or psychosis.

Key Responsibilities

• Serve as the primary point of contact at the organization's main entry, creating a positive

first impression that reflects the values, mission, and spirit of NCCT.

• Answer and screen telephone calls professionally, directing inquiries to the appropriate

staff member or department while maintaining confidentiality and exercising sound

judgment.

• Greet and welcome community members, Elders, visitors, partners, and stakeholders in

a respectful, culturally safe, and professional manner, ensuring a positive and inclusive

experience for all.

• Provide accurate, current, and relevant information regarding organizational programs,

services, events, and community resources.

• Foster a welcoming, inclusive, trauma-informed, and culturally respectful environment

that honors Indigenous cultures, traditions, and diverse lived experiences.

1• Support community members in accessing services and connecting with appropriate

staff, programs, or external resources.

• Respond calmly, professionally, and compassionately to individuals experiencing

emotional distress, mental health challenges, substance use concerns, psychosis, or

crisis situations, utilizing de-escalation, redirection, conflict-resolution, and crisis-

response techniques as appropriate.

• Remain composed and effective in unpredictable, high-pressure, or challenging

situations, demonstrating emotional resilience, psychological maturity, and professional

judgment.

• Maintain professional boundaries and demonstrate the ability to manage abrupt,

emotional, or aggressive interactions without becoming reactive or internalizing difficult

encounters.

• Monitor the reception area for safety, security, and operational concerns, following

organizational protocols related to crisis intervention, incident reporting, emergency

response, and workplace safety.

• Maintain awareness of and promptly report maintenance, safety, security, or operational

issues to the appropriate personnel.

• Ensure the reception area remains clean, organized, welcoming, and professional at all

times.

• Monitor, receive, sort, and distribute incoming and outgoing mail, packages, and

deliveries.

• Perform a variety of administrative duties, including data entry, registration, filing,

photocopying, scanning, document preparation, and records management.

• Assist with program registrations, appointment scheduling, client intake processes, and

the maintenance of accurate and confidential records.

• Complete opening and closing procedures for the reception area, ensuring the security

of confidential documents, equipment, keys, and organizational property.

• Maintain strict confidentiality and protect the privacy of community members, staff,

partners, and organizational information in accordance with organizational policies and

applicable legislation.

• Demonstrate patience, compassion, attentiveness, flexibility, and sound judgment when

interacting with community members, visitors, and colleagues.

• Take initiative in identifying opportunities to improve reception, administrative, and

operational processes.

• Provide administrative and operational support to staff and programs as required,

contributing to the effective and efficient functioning of the organization.

• Participate in cultural activities, ceremonies, training opportunities, staff meetings, and

organizational events as required.

• Remain flexible and adaptable, assisting with broader organizational needs and special

projects as assigned.

• Perform other related duties as assigned to support the effective operation, service

delivery, and overall success of the organization.

2Qualifications

• Experience working in reception, administration, customer service, community services,

or a related field.

• Knowledge of Indigenous cultures, traditions, communities, and cultural safety principles.

• Understanding of trauma-informed practices and the impacts of intergenerational

trauma.

• Experience working with vulnerable populations, including individuals experiencing

mental health challenges, substance use issues, homelessness, or crisis situations, is

considered an asset.

• Strong interpersonal, communication, conflict resolution, and de-escalation skills.

• Ability to remain calm, professional, and compassionate in challenging situations.

• Excellent organizational and time-management skills.

• Proficiency with Microsoft Office and general office equipment.

• Ability to maintain confidentiality and exercise sound judgment.

• Current First Aid, CPR, Mental Health First Aid, ASIST, or Non-Violent Crisis

Intervention training would be considered as asset.

Working Conditions

• Work is performed in a busy, community-focused reception environment with frequent

interaction with community members, Elders, visitors, staff, and partners.

• Regular exposure to individuals experiencing emotional distress, mental health

challenges, substance use concerns, or crisis situations, requiring professionalism,

compassion, and de-escalation skills.

• Ability to remain calm, exercise sound judgment, maintain professional boundaries, and

manage multiple priorities in a fast-paced environment.

• Requires prolonged periods of sitting, computer and telephone use, with occasional

lifting, standing, and walking.

• Must maintain confidentiality, adhere to organizational policies and safety procedures,

and support a culturally safe and trauma-informed environment.

• Flexibility to assist with organizational events, activities, and operational needs as

required.

Contract Term

This position is a full-time, one-year contract position. Continuation beyond the contract period

is contingent upon organizational priorities, operational requirements, funding availability,

and program needs.

The successful candidate is expected to contribute positively to the implementation of

the NCCT’s vision and mission, operate in a collaborative team setting and maintain

high and professional productivity levels and quality of service. This is a full-time

position, salary to commensurate with qualifications and experience. Although

preference will be given to Indigenous applicants (First Nations, Metis and Inuit), all
