JOB DESCRIPTION

The Festival Production Assistant position was created to provide essential support to the Production team during the Hot Docs Canadian International Documentary Festival. This role plays a key part in ensuring the smooth operation of festival venues, assisting with the setup and strike of venues, and facilitating deliveries. By supporting the logistics of the festival, this position directly contributes to the successful execution of the event, ensuring that all aspects of the festival’s production are in place for a seamless experience.

KEY RESPONSIBILITIES

Festival Venue Support:

  • Assists in the deliveries, setup, implementation, and strike of festival venues;
  • Maintains and troubleshoots equipment, ensuring all items are in working order;
  • Coordinates inventory pickups, restocking, and distribution of materials;
  • Updates and maintains relevant tracking and process documents for venue operations.

Logistics & Transportation:

  • Supports the production team with the transportation and handling of printed materials, equipment, and other necessary items;
  • Organizes and coordinates the distribution of event flow documentation and other support documents.

Additional Responsibilities:

  • Flexible approach to workplace location and hours, including occasional evenings and weekends, as required by the organization;
  • Develops and maintains strong relationships with Hot Docs’ communities and stakeholders, including volunteers, unionized and contracted staff, filmmakers, media, and funders;
  • Performs other duties and assists with special projects as assigned.


QUALIFICATIONS

  • 2+ years experience in event production, logistics, or a related field is an asset;
  • Knowledge and understanding of basic event logistics and venue setup;
  • Excellent communication skills, both verbal and written;
  • Strong organizational skills with attention to detail;
  • Ability to manage multiple tasks simultaneously and adapt to changing environments;
  • Strong interpersonal skills with the ability to remain calm under pressure;
  • Agile and adaptable in fast-paced work environments;
  •  Ability to handle heavy lifting (up to 30 lbs);
  • Proficient in Microsoft Office 365 and Zoom;
  • Familiarity with Slack is an asset;
  • Valid G Class Driver's License;
  • Availability to work every day from April 19-May 5, 2025, including weekends.
