Position Title: Program Assistant
Reports To: Project Manager
Location: Hybrid, 664 Bloor St W, Toronto and/or programming site
Time Commitment: Part time, hourly employment agreement, up 10 hours/week
Compensation: $22-$26 per hour

Role Overview

The Program Assistant supports the delivery of Finding Our Power Together (FOPT) programming by assisting with program logistics, on-site support, supply coordination, and general program operations.

Working alongside facilitators, Knowledge Keepers, and program staff, this role helps ensure that programs run smoothly and that participants experience a welcoming, organized, and culturally safe environment. The position may involve a combination of on-site program support, supply purchasing and transport, and occasional hybrid administrative support.

This role is ideal for someone who is adaptable, organized, and comfortable supporting community-based programming in a collaborative and relational environment.

Key Responsibilities

  1. Participant and Program Support
  1. Attend and support programs on-site as needed.
  2. Assist with program set-up and clean-up, including preparing materials, arranging spaces, and organizing supplies.
  3. Welcome participants and help create a warm, supportive, and culturally safe environment.
  4. Support facilitators and program staff during activities and transitions.
  5. Support Facilitation
  6. Assist with managing materials, sign-in sheets, and general program flow.
  7. Help maintain a calm, supportive, and respectful program environment.
  8. Assist with the smooth operation of the workshop by welcoming clients, answering questions, and ensuring a supportive environment.
  9. Provide administrative support, such as record-keeping, intake form management, and attendance forms.

Program Logistics & Supplies:

  1. Purchase and gather program materials and supplies as needed.
  2. Transport supplies to program locations.
  3. Assist with organizing and storing program materials.
  4. Help prepare program materials in advance of sessions.
  5. Communicate regularly with supervisors regarding day-to-day operations and any issues that arise.

Administrative & Hybrid Support

  1. Provide occasional administrative support related to program delivery.
  2. Assist with tracking supplies and documenting purchases.
  3. Support basic program coordination tasks as requested by the Program Admin team.
  4. Assist with maintaining organized records related to program materials or attendance.

Safety & Wellbeing

  1. Follow FOPT guidelines around confidentiality, consent, and cultural safety.
  2. Identify and communicate any concerns to the Project Manager.
  3. Support transitions (snacks, lunch, breaks, pick-up/drop off) smoothly and calmly.
  1. Team Collaboration
  1. Work collaboratively with facilitators, Knowledge Keepers, and program staff.
  2. Participate in brief program check-ins or coordination conversations when required.
  3. Communicate scheduling needs, updates, or logistical challenges to the Project Manager.

Required Qualifications

  • Experience providing mental health, peer, or wellness support in community-based settings.
  • Strong interpersonal skills and the ability to remain grounded in emotionally complex situations.
  • Ability to work collaboratively within an Indigenous-led and multidisciplinary team.
  • Commitment to confidentiality, ethical practice, and respectful engagement.
  • Experience supporting community programming, events, or wellness initiatives.
  • Strong organizational and communication skills.
  • Ability to work independently and collaboratively within a small team.
  • Comfort working in community-based and culturally grounded program environments.
  • Commitment to respectful engagement, confidentiality, and participant wellbeing.
  • Access to reliable transportation.
  • Valid driver’s license and ability to use a personal vehicle to transport program materials when needed.

Assets (Preferred but Not Required)

  • Lived experience relevant to Indigenous wellness, caregiving, or mental health.
  • Experience working in Indigenous community or cultural programming contexts
  • Familiarity with trauma-informed, strengths-based, or DBT-informed approaches.
  • Background in social work, child and youth care, psychology, peer support, or related fields.
  • Familiarity with trauma-informed or strengths-based approaches.
