About the Role

This is a role focused on project coordination and combines key support with general office administration. You will work directly with the Project Supervisor along with other key members of the EME Utility Engineering team to keep projects on track, support client-facing processes, and ensure day-to-day operations run smoothly. This role is well-suited for someone who is organized, proactive, and takes pride in contributing to a growing Indigenous-owned engineering firm.

Key Responsibilities

Project Coordination

  • Track project milestones, deliverables, and deadlines across active engineering files
  • Coordinate scheduling between engineers, contractors, and clients
  • Prepare and maintain project status reports and trackers
  • Assist with document control, organizing drawings, reports, and correspondence
  • Support proposal and RFP preparation, including formatting and document assembly

Office & Administrative Support

  • Manage calendars, meeting coordination, and travel logistics for leadership
  • Handle invoicing, accounts receivable follow-up, and basic QuickBooks Online data entry
  • Draft and format internal and external communications, reports, and presentations
  • Maintain organized digital filing systems and shared drives
  • Support onboarding logistics for new team members and contractors
  •  Assist with business development activities including client outreach tracking and follow-up

What you bring:

  • Strong organizational skills and attention to detail
  • Clear and professional written and verbal communication
  • Comfort working with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • A collaborative, team-first approach

Considered an asset:

  • 2–3 years of administrative, project coordination, or office support experience
  • Experience with QuickBooks Online or similar accounting software
  • Familiarity with engineering, construction, or utility industry environments
  • Experience working with or within First Nations communities or Indigenous organizations
  • Post-secondary education in business administration, project management, or related field
