The Chiefs of Ontario invites applications for the position of sector Projects & Operations Officer in the new Housing and Infrastructure Sector. The Officer provides high level project, operational, and administrative support to the Housing & Infrastructure Sector. Reporting to the Director, the role coordinates a broad range of complex, confidential tasks, manages time-sensitive information, and serves as the sector’s primary point of contact with management. The officer keeps meetings, communications and project files on track and oversees extensive in person and virtual meeting coordination with several dozen First Nation housing leads, requiring exceptional accuracy and organizational confidence.


LOCATION:
Hybrid – Chiefs of Ontario Secretariat Office, 468 Queen St East, Toronto Ontario


DUTIES AND RESPONSIBILITIES:

• Act as primary liaison between Housing & Infrastructure sector and partners
• Lead scheduling and logistics for Housing initiatives including coordination of a substantial number of in person and virtual meetings with First Nations Housing leads and other relevant organizations
• Responsible for providing daily intermediate level assistance in administrative duties by providing effective scheduling management
• Maintain an up-to-date directory of all related parties/agencies and organizations
• Full meeting preparation including agendas, booking location/venue, catering, etc.
• Meeting Communications including recording and transcribing meeting minutes
• Travel claims, cheque requisition and expense processing
• Maintenance of an effective electronic filing system
• Drafting and editing correspondence, reports and internal office communications
• Responsible for general administrative duties as required
• Attend relevant meetings and gatherings as required
• Perform other duties as assigned

Candidates must be willing to work flexible hours during peak periods, such as assembly seasons and out-of-town meetings. Travel will also be necessary.

QUALIFICATIONS:
• Bachelor's Degree (New graduates are encouraged to apply)
• Relevant work experience in combination with education will be considered
• Experience preparing briefing notes, reports, memorandums, and policies
• General knowledge of the organization and activities of the Chiefs of Ontario and current events related to First Nations in Ontario
• Knowledge of First Nation traditions, cultures and values; understand the history and relationship between First Nations and the Crown is an asset
• Professional integrity and the ability to maintain confidentiality are essential
• Excellent communication skills, including written and verbal
• Excellent Time management, organization and planning skills
• Excellent computer skills (Microsoft Word, Excel, Outlook, Adobe Acrobat)
• Working knowledge of First Nations governance structure
• Experience working with First Nations communities and/or organizations is essential
• Valid driver's licenses and any other licenses and/or certificates will be considered an asset i.e. first aid/CPR training, coaching, WHMIS, etc.
• Knowledge of Indigenous culture and values and rights in particular, the nations that reside within the boundaries of the province of Ontario
• Exceptional knowledge of various computer applications including but not limited to: MS Teams, MS Outlook, Word, MS Excel, MS PowerPoint
