POSITION PURPOSE

To provide an exceptional first impression of Tyndale University - both in person and on the phone; this role demonstrates superior customer service while managing the general administrative duties and the day to day functions of the reception desk.

PRIMARY RESPONSIBILITIES

Reception & Customer Service

  • Maintain a professional, welcoming customer service oriented environment.
  • Provide support for the Campus & Conference Services team.
  • Ensure the desk and surrounding areas are clean, presentable and organized.
  • Answer and direct all internal and external phone calls and inquiries.
  • Coordinate incoming and outgoing courier packages/faxes.
  • Coordinate professor/student drop-off and pickup of materials & papers
  • Handle petty cash and various financial transactions (eg. guestroom services, month end reports and other financial reports).
  • Manage booking of guestrooms.
  • Coordinate day-porter duties within the guest wing and residences.
  • Manage key sign-out and inventory.
  • Manage locker rental including logs, payments, and evictions.
  • Handle customer concerns in a professional, timely and effective manner.
  • Print & log ID cards for students, staff, faculty and alumni.
  • Provide and maintain ongoing communication; provide necessary updates related to Reception to the rest of the Campus & Conference Services Team and the Facilities Team.
  • Attend regular department meetings.

Supervision

  • Recruit part-time staff to cover after hours and weekends.
  • Monitor staff performance.
  • Mentor the part-time staff through meetings, updates, verbal instruction and follow-up and other forms of communication.

Health and Safety

  • Escalate health and safety matters as needed to the Director, Campus Operations.
  • Ensure that knowledge of AODA practices remains up to date.
  • Respond to and facilitate emergency situations such as fire alarms/drills, first aid emergencies, health and safety emergencies, etc.
  • Maintain up to date training on first aid/CPR and understand the use of a defibrillator. (First Aid, CPR and Defibrillator training is provided by and paid for by Tyndale).
  • Main contact for the fire department, police and other emergency personnel.

POSITION QUALIFICATIONS

a) Education

  • Two years post-secondary training or equivalent, (i.e. Community College, Technical Institute or Trade School)

b) Experience

  • 2 to 3 years related experience

c) Skills and Abilities

  • Able to multi-task, prioritize, and work efficiently in a fast-paced environment
  • Able to work independently as well as part of a team
  • Proficiency in use of internet/search engines, computer programs/applications (i.e. Microsoft Word, Excel, PowerPoint)
  • Strong inter-personal and customer service skills with the ability to be a persuasive, professional advocate for the organization
  • Strong organizational and administrative skills, with attention to detail and accuracy

e) Physical and Mental Demands

  • Light physical effort (ability to lift up to 20lbs or equivalent)
  • Moderate stress from multiple project deadlines and multiple distractions

Salary:

$38,000 - $42,000
