The Supervisor, Janitorial Services, under the direction of the Manager, Facilities, is responsible for overseeing janitorial operations, sanitation standards, groundskeeping, exterior property maintenance activities, and pest monitoring programs at the Toronto Humane Society (THS) facility. The Supervisor provides day-to-day leadership to employees assigned to janitorial services by coordinating work assignments, monitoring performance, supporting training and development, and ensuring that cleaning, sanitation, groundskeeping, and pest monitoring activities are completed in accordance with established standards, procedures, and health and safety requirements.
The role supports quality assurance activities, maintains operational records, identifies opportunities for service improvement, and contributes to the continuous improvement of janitorial services across the organization.
Job Duties
Team Leadership and Operations
- Coordinate and direct the daily activities of employees assigned to janitorial services, establish priorities, and adjust work assignments to meet operational requirements.
- Prepare and maintain staff schedules, confirm shift coverage, review employee time records, and escalate staffing and operational concerns as appropriate.
- Provide orientation, training, coaching, and ongoing support to employees regarding cleaning procedures, sanitation standards, groundskeeping activities, pest monitoring requirements, equipment operation, and health and safety practices.
- Monitor employee performance and provide day-to-day guidance, feedback, and support, escalating concerns as appropriate.
- Serve as the primary point of contact for janitorial, sanitation, groundskeeping, and pest management concerns during the shift.
- Identify opportunities to improve janitorial operations, service delivery, efficiency, and quality standards, and provide recommendations for continuous improvement.
Cleaning and Sanitation Oversight
- Maintain and administer cleaning, sanitation, groundskeeping, and related service plans to support operational requirements.
- Monitor the completion and quality of janitorial, sanitation, groundskeeping, and related service activities and address deficiencies or recurring concerns.
- Review and verify cleaning records and area checklists to confirm scheduled tasks have been completed.
- Support quality assurance inspections and audits and implement corrective actions as required.
- Coordinate and monitor routine groundskeeping and exterior property maintenance activities, including litter collection, exterior cleaning, waste enclosure maintenance, seasonal upkeep, and outdoor area cleanliness.
- Provide operational oversight to support service levels, quality standards, and consistent application of established procedures.
Pest Monitoring and Facility Support
- Oversee routine pest monitoring activities, verify related records and reports, identify concerns or trends, and coordinate or communicate appropriate follow-up in accordance with established procedures.
- Monitor inventory levels of cleaning products, consumables, and personal protective equipment and communicate replenishment requirements.
- Identify and report building, equipment, grounds, and maintenance concerns requiring attention.
- Follow established procedures related to facility access, security, key control, and securing assigned areas at the end of the shift.
Health and Safety
- Work in compliance with the provisions of the Occupational Health and Safety Act (OHSA) and its regulations, including understanding and adhering to the requirements of the Health and Safety Manual, and any other rules and regulations established by the Toronto Humane Society.
- Use the personal protective equipment provided and follow WHMIS requirements for the handling, labelling, storage, and dilution of chemical products.
- Report hazards, near misses, injuries, and incidents in accordance with THS procedure.
- Promote safe work practices and ensure required training is completed before employees perform work independently.
Other Duties
- Attend and participate in workshops, seminars, and in-service training to further education, skills, and training.
- Be aware of and work within the regulations of all Toronto Humane Society policies and protocols.
- Work cooperatively with all volunteers and recognize the talent and commitment they bring to the Society.
- Foster, promote, support and drive inclusion and influence others to promote, embrace and progress Diversity, Equity, and Inclusion at Toronto Humane Society.
- Other duties as required in the day-to-day operation of the Society.
Job Requirements
- High school diploma or equivalent,
- Minimum two (2) years of experience in commercial, institutional, healthcare, janitorial, sanitation, facilities, or related environments, including experience coordinating work activities or supporting operational standards,
- Experience providing day-to-day work direction, training, coaching, or supervision to employees,
- Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Working knowledge of cleaning and disinfection practices, janitorial equipment, sanitation standards, pest monitoring procedures, groundskeeping activities, exterior property maintenance requirements, and safe chemical handling practices.
- Ability and willingness to oversee routine pest monitoring activities and ensure pest control devices are monitored and handled in accordance with established procedures.
- Experience working in an animal shelter, veterinary, healthcare, food handling, or similar environment is considered an asset.
- Experience performing groundskeeping, exterior property maintenance, or seasonal outdoor maintenance activities is considered an asset.
- Ability to work independently, prioritize operational needs, and provide consistent day-to-day direction to employees.
- Demonstrated ability to support employees in meeting established work standards in a team environment.
- Effective verbal and written communication skills sufficient to maintain records and provide instruction, operational guidance, and workplace feedback to staff.
- Strong organizational and time-management skills with the ability to prioritize competing operational requirements.
- Demonstrated ability to present a positive and professional image of the organization when interacting with employees, volunteers, clients, visitors, and members of the public.
Work Conditions
- Flexible hours, including nights, weekends, and holidays.
- Working in a busy environment with frequent interruptions.
- Prolonged periods of standing, walking, climbing stairs, and moving throughout the building.
- Operation of computers, mobile devices, and other technology required to perform assigned duties.
- May involve the lifting, carrying, pushing, and/or pulling of moderately heavy objects and materials (20 to 50 pounds) and frequent physical activities including climbing stairs, bending, stooping, kneeling, crouching, and reaching.
- Regular operation of cleaning, janitorial, and other equipment may be required to demonstrate proper procedures, assess equipment use, or respond to operational needs.
- Work may be performed indoors and outdoors in varying weather conditions while conducting groundskeeping and exterior property maintenance activities.
- Performance of essential functions may require exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, temperature and noise extremes, cleaning chemicals and hazardous materials, animal waste and bodily fluids, rodents and rodent droppings, animal bites, disease, and pathogenic substances.
