2-Spirited People of the 1st Nations provides prevention, education, and support for Two-Spirit individuals, including First Nations, Métis, and Inuit, living with or at risk for HIV and related co-infections in the Greater Toronto Area. We base our work on Indigenous philosophies of holistic health and wellness. Our vision for the future is a strong, healthy, and independent Two-Spirit community in Toronto, where HIV infections are rare, and Two-Spirit people live with pride in their Indigenous heritage.

Position Description:

The Administrative Support Trainee will play a vital role in ensuring the smooth operation of our office. This position is ideal for someone eager to gain hands-on experience in administrative tasks and is looking to develop a career in office management. The successful candidate will receive training and mentorship and will have the opportunity to contribute to various projects and initiatives.

Essential Duties and Responsibilities:

  • Embody anti-racist, anti-oppressive, equity-seeking practices in all aspects of work, including interactions with participants, community members, committee members, 2-Spirit staff, stakeholders, networks, and others.
  • Demonstrate respect for and expertise in working with people who face barriers to housing and/or who experience one or many of the following: mental and physical health challenges, substance use, trauma, social isolation, immigration, unemployment/underemployment, and a history with the criminal justice system.
  • Provide office support for day-to-day tasks as needed.
  • Manage detailed calendars in Outlook, coordinating virtual meetings via Zoom and in-person as necessary.
  • Maintain office supplies inventory and order supplies as needed.
  • Support the team with special projects and tasks as assigned.
  • Assist with the creation of reports, document proofreading, scanning, and filing, ensuring deadlines are met.
  • Diligently respond to phone, email, and in-person inquiries, both from community members and team members.
  • Prepare sensitive documents and correspondence with a high level of accuracy, security, and attention to detail.
  • Assist with onboarding and offboarding employees, including organizing welcome packages, equipment requests, maintaining office access, etc.
  • Responsible for organizing all mail and shipping.
  • Assist with maintaining the cleanliness of the office.
  • Perform other duties as required.

Qualifications:

  • Must have extensive experience working with Indigenous populations and a broad familiarity with Indigenous cultural and community perspectives across Ontario.
  • Must demonstrate a proven understanding of the range of issues facing Indigenous people in Ontario.
  • Experience working in community/non-profit settings is an asset.
  • Excellent interpersonal skills to work with a diverse community.
  • Excellent verbal and written communication, organizational, and administrative skills.
  • Ability to work independently and as part of a team.
  • Positive attitude, willingness to learn, and adaptability.
  • Experience on an interdisciplinary team and in multicultural environments is an asset.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Zoom.
  • The successful candidate may be required to provide an acceptable Vulnerable Sector Screening.
  • Must be fluent in English; fluency in an Indigenous language and/or French is an asset.
  • Potential candidates must be First Nations, Inuit or Metis and reside within the GTA. Candidates must be registered or eligible to register with Miziwe Biik Aboriginal Employment and Training.
