Job Summary

Reporting to the Senior Manager, Donor Relations & Development Operations, the Donor Relations & Processing Agent is responsible for the support of donor relations, donation management, and the day-to-day administration of the development team. Donor Relations & Processing Agents contribute to the team’s fundraising efforts and focus on both, building and maintaining relationships with Toronto Humane Society donors, data entry and donor profile maintenance and assists with other major fundraising programs.

The position is responsible for the handling of donations, preparing deposits, receipts, and acknowledgements, establishing campaigns, funds and appeals on the database and reconciling database financial records.

As a member of the development team, this position will enhance and support the department through stewardship, expressing appreciation to donors and data management of donor files, while supporting the mission of Toronto Humane Society.

Job Duties

  • Personally develop and cultivate relationships with donors and potential donors.
  • Assists with the support of staff and volunteers in donor and volunteer relationship building and cultivation.
  • Assists, as directed by the Senior Manager, Donor Relations & Development Operations, in Society’s campaigns and donor related events. 
  • Answers donor inquiries and process donations via phone
  • Assists in overseeing and responding to the fundraising email inboxes.
  • Sorts mail and processes donations in a timely manner
  • Assists with exception letters for rejected donations (unsigned cheques, etc.)
  • Manages and updates donor records in the Raiser’s Edge, Luminate Online and FundraiseUp CRM databases and works with the Database Administration Team to ensure the integrity of all data input.
  • Prepares In Tribute and In Memory cards and other corresponding donor communication.
  • Provides administrative support for Toronto Humane Society’s Membership Program, including the preparation of renewal notices and processing membership fees.
  • Works in adherence to fundraising policies and processes.
  • Foster, promote, support and drive inclusion and influence others to promote, embrace and progress Diversity, Equity & Inclusion.
  • Attend and participate in workshops, seminars, and in-service training to further education, skills, and training, as requested and approved by the Manager.
  • Be aware of and work within the regulations of all Toronto Humane Society policies and protocols.
  • Work in compliance with the provisions of the OHSA and its regulations, including understanding and adhering to the requirements of the Health and Safety Manual, and any other rules and regulations established by Toronto Humane Society.
  • Work cooperatively with all volunteers and recognize the talent and commitment they bring to the Society.
  • Follows national and provincial regulations including, but not limited to PIPEDA, CRA, CMA, Imagine Canada’s Ethical Fundraising and Financial Accountability Code and AFP’s Code of Ethical Principles and Standards.
  • Other duties as required in the day-to-day operation of the Society.

Qualifications/Requirements

  • Post-secondary education in fundraising or a related discipline
  • Minimum of 1-3 years in donor relations and/or of customer service experience
  • Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Experience with Customer Relationship Management (CRM) systems an asset.
  • Experience in outbound calls and sales is an asset.
  • Excellent customer service and organizational skills.
  • An understanding and commitment to fundraising ethics and donor privacy.
  • Ability to take responsibility and be accountable, and deal with change in the workplace.
  • Excellent oral and written communication, and interpersonal skills
  • Flexibility with changing priorities and ability to remain focused to meet timelines.
  • High proficiency using computer applications including but not limited to the Microsoft Office Suite (Outlook/Word/Excel/PowerPoint/Teams)
  • Ability to work individually as well as part of a team.
  • Acts as a positive influence throughout the organization, fostering commitment to teamwork and building a climate of professionalism, openness and communication.

Work Conditions

  • Standard office hours, with occasional evenings and weekends.

  • Working in a busy office environment with frequent interruptions
  • Performance of essential functions may require exposure to adverse environmental conditions, such as dirt, dust, odors, noise extremes, hazardous materials, bright/dim lights, toxic agents, animal attacks, animal bites, disease, pathogenic substances, or rude/irate customers.
