Job Summary:
The Payroll & Benefits Administrator is responsible for administration of employee benefits & pension, data management and employee records management. They support and assist with ensuring efficient and accurate payroll for all salaried and hourly staff and are responsible for all payroll, benefit, and pension related reporting.

What You Will Do:

  • Responsible for new hires set up after receiving notifications from HR coordinators, and review new hires set up first step completion to make sure data e.g. SIN and bank information are input correctly; as well as the time sheets from hourly paid staff; reviewing, following-up for clarification or discrepancies if necessary.
  • Review and update salary step changes every pay according to HR updated excel and communicate P&C coordinators for any questions on the list. Calculate Retro and adjustment payment and apply in ADP as needed.
  • Update timecards for missed hours or missed absence codes after receiving emails from Human Resources and programs, apply historical edits for closed pay periods as needed.
  • Prepare and issue manual checks for missed payments as requested. Help set up schedule planners if required.
  • Inputting all relevant data and records into the payroll database and make sure changes in all areas are updated.
  • Review salaries periodically on ADP to make sure the salaries are correct in accordance with employee’s contract.
  • Responsible for updating pay grades table on ADP after general increases.
  • Reply and respond to questions from employees regarding payroll discrepancies, pension and benefit entitlement inquiries; following up for clarification or discrepancies if needed.
  • Support Payroll & Benefits Specialist with transmitting payroll data to the service provider (ADP), checking returned data and distributing pay stubs/prepare manual cheques as requested.
  • Maintaining the benefits & pension database to make sure all eligible benefits and pension members are tracked and enrolled on ADP on time and under correct benefits group; reconcile members list with HR administrator to provide reminder list of members enrolment document requirement every month.
  • Support Payroll & Benefits Specialist in calculating and processing payments such as: pension, benefit, WSIB, EHT, Union Dues and retroactive and/or severance money, as well as year-to-date adjustments, statutory deductions, EI amendments, taxes or other withholdings; producing Records of Employment or other required documentation from available information;
  • Support the calculating, producing and remitting monies or information requested by government or regulatory
  • Reviewing all transactions received for completeness, accuracy of supporting documentation, adherence to internal controls, the various collective agreements and legislated standards; seeking clarification and alerting Human Resources as to anomalies
  • Support in preparation and Review of T4s
  • Liaising with external systems support for issues or problems with the payroll and benefit systems as needed
  • Assist with year-end Audits
  • Assist with government audits by preparing documents requested i.e. WSIB and EHT from Ontario government
    • Applies an anti-racism, anti-oppression lens to duties, interactions and documentation.
  • Complete payroll processing associated reporting
  • Time to time assignments as needed
  • Support Payroll & Benefits Specialist in all other areas related to payroll, pension and benefits
  • Act as a back up to Payroll & Benefits Specialist
  • Handle ad hoc tasks that may arise, demonstrating flexibility and a quick/ accurate response.
  • Provide back-up support to other functions of the People & Culture team in their absence.

What You Bring:

The position requires excellent knowledge of the payroll and benefits management, and accounts payable functions as acquired through certification with the Canadian Payroll Association or an accounting designation from a community college, coupled with 1-3 years of experience in payroll administration

Knowledge is required of the standard and accepted practices regarding payroll, and of the payroll policies/procedures, deadlines and internal controls of the organization.

Knowledge is required of the legislation and regulatory requirements in Ontario

Demonstrated experience using computerized payroll systems and MS Office Applications (knowledge of ADP WorkforceNow will be an asset)

Knowledge of math, ability to work independently with little technical supervision

Experience with administration in employee benefits & pension administration would be an asset

Solid working knowledge of payroll and benefits administration & other Human Resources practices would be an asset

Strong analytical, problem-solving, time management and organizational skills are essential for this role

Excellent interpersonal and communication skills

Strong ability to pay attention to detail

Strong ability to accurately compile and input data, maintain records, and conduct searches.

Well-developed written and verbal communication skills, with the ability to communicate effectively and tactfully with all levels of staff and external stakeholders

Advance knowledge of MS Office applications such as Excel, Word and PowerPoint
