The Opportunity:
The Program Support Coordinator will support and work within a team driving equitable access to Kids Help Phone’s e-mental health programs and services. This role will report to the Executive Director, Equity, Programs & Innovation Implementation and will support programs through administrative support, coordinating key initiatives for staff and volunteers, and utilizing systems to coordinate the dissemination of outreach materials to youth across Canada. The Program Support Coordinator will also work closely with Kids Help Phone’s Indigenous Initiatives team, planning critical events and ensuring cultural protocols and safety measures are in place. The ideal candidate will have a high level of proactivity and organizational skills, supporting the administration of competing priorities across teams.

What You’ll Do:

Event Coordination:

  • Event Coordination: Coordinate logistics for key events or initiatives for staff or volunteers throughout the year, such as the Weaving Threads forum, Knowledge Exchange Forums and trainings
  • Stakeholder Communication: Liaise with necessary stakeholders internally and externally to coordinate items such as venue, payment, catering, AV, travel etc.
  • Budget Tracking: Update and track budgets for events and group initiatives to ensure spending within budget limitations
  • Cultural Safety: Work with internal teams, particularly the Indigenous Initiatives team to ensure appropriate cultural protocols and safety measures are in place
  • Point of Contact: Be onsite as key contact for events or group initiatives that require support and coordination

Team and Volunteer Engagement

  • Advisory Group Coordination: Coordinate the recruitment, onboarding and engagement process for program advisory groups throughout the year, mainly the Indigenous Advisory Council
  • Volunteer Participation: Coordinate volunteer participation in events and council meetings, take minutes and disseminate meeting information
  • Cross-Team Liaison: Liaise with various points of contact across teams to prioritize initiatives and communicate progress

Program Coordination and Support:

  • Outreach and Inventory Management: Coordinate the production, distribution and tracking of program outreach and inventory materials for programs across Canada, liaising with the distributor and vendors and ensuring inventory is in stock.
  • Data Management: Utilize various systems to track information or update data, such as Salesforce, Excel and Microsoft Office
  • Event and Meeting Preparation: Prepare meeting or event materials and packages, including liaising with vendors for printing if needed
  • Travel Coordination: Book travel for staff and volunteers domestically, including remote areas of Canada, and international travel as required
  • Financial Processing: Process invoices, honorariums and expenses, including updating ledgers and maintaining accurate records, whilst liaising with the Finance team as needed
  • Scheduling: Schedule meetings as needed

What You'll Need

  • 2-3 years of experience in administration, event coordination or a similar area
  • Post-Secondary Diploma in an administrative assistant program
  • You’ll already have the following:
  • Demonstrates proactivity and approaching new tasks with a can-do attitude. Ability to multitask and meet deadlines.
  • Excellent interpersonal and stakeholder management skills
  • Strong sense of professionalism and confidentiality
  • Strong verbal and written communication skills
  • Ability to problem-solve minor software and hardware issues
  • Proficient in the Microsoft Office suite of products
  • A willingness to learn and integrate Indigenous event protocols

Desirable:

  • Knowledge of Indigenous Peoples (First Nations, Metis & Inuit) and Indigenous ways of knowing
