Job Title: Receptionist
Employment Term & Work Hours: Full-time Position, 9 am to 5 pm, Mon-Fri, 40 hours per week
Department: Executive
Direct Report: Executive Assistant
Position Summary: Specific qualifications and skills are crucial to ensure the individual can effectively
engage with the community and uphold the values of the centre. In this role, you will be responsible for both
reception and telephone duties; answering, screening and directing all external and internal calls to the
appropriate person or department and handling all inquiries at the reception area in a timely and professional
manner. This position must also monitor the sign-in and sign-out entrance and departure of employees, as
this is part of the Joint Health & Safety Committee's expectations to support and maintain security and health
safety procedures.
Duties and Responsibilities:
● Greet and assist visitors in a respectful, friendly and courteous manner
● Answer and direct phone calls promptly and efficiently in a professional manner
● Greet, answer and unlock lift through intercom system
● Manage incoming and outgoing mail and packages
● Maintain sign in and sign out sheets for visitors and employees
● Proactively inherent to security binder and health and safety policies and procedures
● Maintain strict confidentiality in both employee and client matters
● Ensure there is available supply of information brochures and pamphlets
● Ensure printed and electronic information is up to date
● Frequently organize and tidy front desk
● Provide administrative support to various departments as needed
● Schedule appointments and coordinate meetings as needed
● Scan, copy, print and upload documents
● Administer front desk security binder; organize incident reports, photos, and ban notices by date
● Log and track incoming and outgoing mail and packages via Google Excel
● Write receipts for monetary donations and relay donations to the Executive Assistant and Finance
Manager
● Utilize interpersonal skills to build positive relationships with visitors, community members, and
staff
● Utilize conveying information in a culturally appropriate manner with visitors, community
members, and staff
● Effectively communicate with staff, clients, and visitors verbally, and in writing
● Relay messages and information accurately and promptly
● Report any health and safety issues to the JHSC, relevant manager, and/or security
● As directed, write and post employee and/or client notifications via Google Word

● Ensure a high level of customer/visitor satisfaction by addressing inquiries and concerns
professionally
● Assist in resolving issues or redirecting queries to the appropriate personnel
● Recognize community support and donations via verbal thank you/acknowledgement
● Maintain knowledge of NCCT programming and services
● Maintain knowledge of local organizations and their programs/services that are relevant to NCCT
clients
● Manage a busy and dynamic front desk environment
● Utilize office equipment, including phone, computer, printer and scanner
● Operate basic office software (Microsoft Office Suite) and familiarity with office equipment
● Operate specialized software used at the NCCT via Dayforce, Powerpay, any others as needed
● Proactively demonstrate understanding and respect for Indigenous cultures, traditions, and
protocols
● Participate in cultural awareness training
● Perform related duties as assigned, within your scope of practice
● Create an environment that is welcoming to all visitors
● Ability to work collaboratively with other staff members and contribute positively to the team
environment
● Ability to connect with diverse individuals and groups within the Indigenous community
● Perform other duties as assigned
Qualifications:
● A high school diploma or equivalent experience
● Additional qualifications in office administration, Indigenous studies, or related fields may be
advantageous
● Proven work experience as a Receptionist, Front Office Representative or similar role
● Professional customer service attitude and professional appearance
● Thorough knowledge and understanding of Indigenous people, culture, history, language and
traditions is an asset
● Ability to operate a switchboard system; excellent communications skills
● Ethical, tactful and discreet when dealing with the community and visitors in a very busy/open
environment
● Proficient computer skills, Microsoft Office.
● Proven ability to be a self-starter with highly organized multitasking skills in a fast-paced work
environment, organizing, prioritizing, and time-managing workload tasks
● Ability to be resourceful and proactive when issues arise
● Ability to work within a team environment and independently
● Solid written and verbal communication skills
● Knowledge of local organizations and their programs/services
● Current CPIC and Vulnerable Sector Screen required
● Must be legally entitled to work in Canada in accordance with relevant provincial or territorial
legislation and regulations

Working Conditions:
● Occasionally noisy or distracting during busy periods, shared workspace. Must be able to work
with occasional challenging clients and many interruptions.
● This position involves regular interaction with visitors, clients, and various departments within the
organization. The Receptionist will be stationed at the front desk and may be required to sit for
extended periods.
