JOB DESCRIPTION: SHELTER ASSISTANT

Shelter Assistant

(Non-bargaining position; management)

Full-time 5 days/40 hours per week

General Accountability:

The Shelter Assistant is under the direction of the Shelter Director of Anduhyaun Inc. for effective management of client programs and services of Anduhyaun Shelter. The Shelter Assistant will support the Director in the day-to-day office administration of the shelter in a manner that is consistent with Anduhyaun’s mandate:

To support Indigenous women and their children in their effort to maintain their cultural identity, their self-esteem, and their economic, physical and spiritual well-being.

Nature and Scope:

The Shelter Assistant is responsible for monitoring the programs and services of the shelter for women and their children by identifying supports they need and how to access those supports through the shelter staff. Further, the Shelter Assistant is responsible for assisting the Director & Coordinator in providing on-call services, the delivery, management, and evaluation of staff and the services and programs of the Shelter. This includes ensuring legislative compliance for such programs as, but not limited to Human Rights Code, Code of Ethics for Social Workers, Health and Safety and other applicable Acts.

The Shelter Assistant will liaise and coordinate with other shelters in the greater Toronto area, attend meetings in the absence of the Shelter Director and/or as directed and provide information for decisions, act as a resource and assist with planning, goal setting and evaluations. This includes arranging meetings and schedules for the Shelter Director.

The Shelter Assistant will act as the designate in the absence of the Shelter Director & Shelter Coordinator.

Management:

  • In conjunction with the Shelter Director, enforcement of all requirements of the shelter.
  • Arrange meetings for the Shelter Director.
  • Advise, consult and assist the Shelter Director with respect to any rules and regulations which are required to successfully operate the programs and services of the Shelter.
  • Prepare an annual work plan.
  • Assist the Director in the preparation of the budget submission and reports to the Ministry.
  • Assist in maintaining Serious Occurrences reports and inspections.
  • Prepare and provide monthly statistical reports to the Shelter Director; including summaries of programs, services and other relevant matters, when applicable.
  • Assist the Coordinator in ensuring that all requirements of the service contract are met including the accurate collection and timely submission of required statistics.
  • Chair and/or notetake monthly staff meetings, as required.
  • Assist in the orientation of new staff.
  • Participate in weekly check-ins with the Shelter Director.

Anduhyaun Shelter

  • Observe and update Shelter Director about client and staff relations.
  • Review the Communication Book and address outstanding issues.
  • Maintain shelter invoices and ensure all shelter invoices are approved by the Shelter Director or Shelter Coordinator and submitted.
  • Provide guidance, advocacy and act as a resource for shelter staff.
  • Liaise with the community and keep current on emerging issues, including but not limited to, violence against women and homelessness.
  • Collect, summarize, and submit Monthly statistics to the Shelter Director.
  • Assist the Shelter Director in conducting annual evaluations of the staff.
  • Update and maintain the physical and digital filing systems, including the staff personnel files which contain confidential information.
  • Attend house meetings to support the frontline staff in addressing concerns or enforcing house rules.

Cultural Programming

  • Consult with the Sexual Assault Counsellor & Transitional Support Coordinator to ensure the continuity of cultural programming is maintained.
  • Collaborate with the management team to arrange cultural events (Truth & Reconciliation, Orange Shirt Day, Red Dress day, etc.).
  • Purchase event items with approval from the Shelter Director.

Counselling

  • Ensure that the staff of the shelter adhere to the Social Work Code of Ethics.
  • Assist the Shelter Director to ensure the safety and well-being of both the residents and staff.

Shared Responsibilities

  • In conjunction with the Shelter Director & Shelter Coordinator, respond to crises while taking necessary precautions to ensure personal safety at all times, including responding to on-call service.
  • Fill in for staff as required for emergency staffing until staff are able to arrive.
  • Assist with special events, attendance of community meetings representing Anduhyaun Inc., public speaking engagements, workshops and fundraising on behalf of Anduhyaun, as requested.
  • Assist the Shelter Director in creating and maintaining the procedural manual.
  • Assist in training of new staff members.
  • Participation in and contribution to monthly Management Meetings, as required.
  • Ensure staff are following policy & procedure and report to the Shelter Director.
  • Retrieve donation items from Nekenaan for the shelter.
  • Report received or potential donations to the Program Director.
  • Maintain the bulletin boards and signage around the shelter.
  • Provide assistance with orders, deliveries of materials, supplies and transportation, as needed.

Training and Education

  • Continue self-development and growth in areas relevant to the position through educational reading, participation in courses, conference, seminars, and workshops.
  • Remain informed of available resources in the Indigenous community for the benefit of the residents and staff.

Hours of Work/Hourly Rate:

  • The regular work week will be 40 hours with some evening work.
  • Thursday – Monday, 11:00 am – 7:00 pm.
  • Shifts are 8 hours/day, with possibility of up to 12 hours a day, as required.
  • Compensation: $23.00-$25.00 per hour

Travel:

  • From time to time, you may be required to perform duties at either of Anduhyaun’s locations and some travel may be required. A valid G Driver’s License with access to a vehicle is an asset, but not required.

Other:

  • Perform all other duties as required from time to time.
  • Must have or be able to acquire a clear Criminal Record Vulnerable Sector Check.
  • Proof of vaccination against COVID-19 as per Anduhyaun’s Vaccination Policy.
  • Knowledge of Indigenous culture is considered an asset.
  • Experience in administrative/management level roles is considered an asset.
  • Excellent communication skills.
